Projects — overview
A project in Agenda is the central wrapper for everything related to a job: appointments, documents, tables, receipts, orders and the people responsible. Instead of hunting across several apps you find everything under one project.
What are projects for?
- Bundling a job — every appointment, photo, measurement and invoice for a site in one folder.
- Structured handover — at the end of the project you export every document together for the customer or accounting.
- Cost transparency — see per project which employees logged how many hours and which materials were used.
- Team assignment — who is responsible, who is on the team, who only has read access.
Key terms
- Project — the top level. Has a name, an address and a status (open / in progress / done / archived).
- Subproject — a phase or sub-area inside a project (e.g. “Shell construction”, “Final acceptance”).
- Project team — the employees allowed to see and edit the project.
- Responsible — the central person who fields questions and escalations.
- Attachments — images, PDFs, tables and notes attached to the project or subproject.
A typical project flow
- Create — project with name, customer, address, responsible person.
- Assign team — add employees and groups.
- Subprojects — split the project into phases if you want.
- Work — appointments, tables, documents are captured on the project itself.
- Close — set status to “done”; export the handover archive as a ZIP.
- Archive — the project stays searchable but disappears from the default lists.
Who uses projects?
- Management creates projects and tracks progress.
- Team leads assign appointments and see what’s open.
- Field staff and office find every document for a site in one spot.
- Accounting pulls receipts and hours for project-based billing.
