Signing PDFs

With the PDF Center you can sign any PDF — delivery note, handover protocol, contract, an externally received invoice — and hand it over in two clicks. Signatures are managed centrally and shared with Quick Invoice.

The 5-step flow

  1. Open the PDF. Click Select PDF and pick the file — on the web you can also drag the PDF into the window.
  2. Pick the page. A thumbnail strip at the bottom shows every page. Tap the page you want to sign.
  3. Insert a signature. Tap the pen icon at the top.
    • Pick a saved signature from the list, or
    • tap Draw new signature, enter name and role, draw on the screen. Tick Save for later if you want to reuse it.
  4. Place and adjust. The signature appears as a green box on the page. Drag it with your finger or mouse to the right spot and use the zoom icons to resize.
  5. Save. Tap Save signed PDF. The file is downloaded immediately (web) or opened in the share sheet (mobile).

Sign multiple pages

You can place a separate signature on every page of the document — for example on each page of a multi-page contract. Tap a different page in the strip and start over from step 3. Already signed pages show a small check mark in the strip.

Remove a placed signature

As long as you haven’t saved yet, you can remove the placed signature on the current page with the trash icon. After that you can switch to a different page or insert a new signature.

Drag & drop on the web

On the web you can simply drag the PDF onto the “Open PDF for signing” area. A green border appears while dragging — release to open. No file-picker dialog needed.

What happens to the original?

The opened PDF stays unchanged on your device. The signed PDF is downloaded as a new file prefixed with signed- — e.g. contract.pdf becomes signed-contract.pdf.

Connection to Quick Invoice

The saved signatures used in the PDF Center are the same as in Quick Invoice. A signature drawn in the PDF Center and saved for later is available the next time you sign an invoice — and vice versa.
