Run an inventory count

An inventory count reconciles your physical stock against the book stock. It is legally required (at least once a year for the balance sheet) and a great way to spot shrinkage, theft, or booking errors.

Prerequisites

  • The warehouse layout is configured.
  • Enough staff to count in a reasonable time.
  • Optional: a mobile device to scan QR labels right at the shelf.

How it works

  1. Open the warehouse and switch to the Inventory view.
  2. The system freezes the current book values — that’s your baseline.
  3. Walk shelf by shelf and enter the counted quantity per article.
  4. Variances are colour-coded (green = match, yellow = small variance, red = large).

Finalising

Click Finalise inventory:

  • Variances are written to the movement log as stock movements of type “stocktake”.
  • Book values are corrected to match the counted values.
  • You get a summary (shrinkage in €, affected articles).

What you get out of it

  • Balance-sheet ready — the value of your stock is properly documented.
  • Shrinkage detection — repeated missing articles point at systematic issues.
  • Booking hygiene — accidental double bookings are corrected.

Permission

Counts need the Run inventory count permission. Default: warehouse owners. See Roles & permissions.
