Book a goods receipt
A purchase order to a supplier moves through three states:
- Open — created, not yet sent.
- Ordered — sent to the supplier, goods in transit.
- Partial delivery / Delivered — goods (partly) arrived.
Open the goods receipt
When a PO is ordered, the button Book / Book remaining appears. Click it to open the receipt dialog.
Per line
For every PO line you enter:
- This time — the quantity actually delivered (may be less than ordered for partial deliveries).
- Map article — if the line is not yet tied to a real article in your inventory, pick one now. Type to search (by name or article number).
- Condition — Good or Damaged. Damaged goods are booked but flagged.
Optional: batch number and best-before date.
Confirm
Click Book:
- Each article’s stock immediately increases by the entered quantity.
- The PO status flips to Partial delivery (if some lines are still short) or Delivered.
- Each line emits its own stock movement with timestamp and the responsible employee.
Partial deliveries
When a supplier ships in multiple consignments:
- Book the first receipt with the actual arrived quantities.
- The PO now sits at Partial delivery.
- Next arrival: click Book remaining again — the system shows the already-booked and the still-outstanding quantities.
- Once every line is complete, the PO flips to Delivered.
What to do next
- Inspect stock movements — who booked what, when.
- Run an inventory count — to verify the booked quantities match physical stock.
