Creating a Quick Invoice on-site
The Quick Invoice is built for use right at the customer’s premises. A typical Quick Invoice takes under two minutes — pick the customer, add line items, get it signed, share the PDF.
The 6-step flow
- Open Quick Invoice. Tap Quick Invoice in the side menu.
- Pick a customer. Tap Pick or add a new customer. You can search existing customers, add a new one inline, or pick from the “Recent” shortcut row.
- Add line items. Tap Add, then fill in title, quantity, unit, price and tax rate. Or tap From template to insert a saved service template — quantity and unit are then pre-filled.
- Notes (optional). Tap the notes field at the bottom if you want to add remarks, payment terms or anything else to appear on the invoice.
- Sign. Tap Sign. First you (or your employee) draw or pick a saved signature. Then the customer signs.
- Save and share. The invoice is saved immediately as a PDF. You can share (WhatsApp, AirDrop, email), print or send by email directly from the app.
The dual signature
Every Quick Invoice carries two signatures:
- Left — your employee’s or owner’s signature, with name and role (e.g. “Team lead”). It can be saved for next time so it’s a single tap.
- Right — the customer’s signature with the name you entered.
For more on saving signatures per employee, see Saved signatures.
What the app does behind the scenes
You don’t have to think about any of this — the app takes care of it:
- A consecutive invoice number is assigned per business year (
RG-2026-0001,RG-2026-0002, …). No duplicates, no skipped numbers. - The finished PDF is cryptographically sealed (SHA-256 fingerprint) and stored immutably.
- A signed Quick Invoice is locked against edits. Corrections go through a credit note.
Sign a draft from a recurring contract
If your company uses recurring contracts, prepared drafts show up in the app:
- Open the Quick Invoice screen.
- Tap the inbox icon at the top right (drafts).
- Pick the due draft — customer, line items and notes are already filled in.
- Adjust if needed, get it signed, save. The draft becomes a signed invoice — a new invoice number is assigned at signing time.
