Calendars & holidays
Calendar views in Agenda solve one of the oldest problems in workforce planning: who’s where when? Instead of juggling three tools (vacation plan, shift plan, sick list), you see it all in one view — on every device.
Personal year overview
In the drawer entry “My hours” you find the tab “Year” (mobile) or a tab in the monthly journal card (web). What you see:
- 12 months × 31 days in a grid
- Each cell color-coded: work (green), vacation (blue), sick (red), holiday (purple), parental leave (pink), home-office (dark green), business trip (orange) — colors are set by the system, the 2-letter code appears in the cell
- Weekends in grey, holidays additionally with a celebration symbol
- Half days with a contrast indicator
- Pending requests with an hourglass badge
- Tap on a cell → detail sheet/dialog with date, reason, cover, comment
Above the grid you see your year balance:

The “Available” column is the honest answer: how many vacation days you can actually still plan.
Group calendar — who’s out and when?
For supervisors and shift planners the group calendar is the key tool. A single table shows:
- Rows = all branch members
- Columns = days (default window: current month ± 7 days)
- Cells = status using the same color/code logic as the personal year view
- Today with an orange column marker — instantly visible
- Week-number header above the day columns
Filter & sort
- Search by member name (e.g. “Müller” hides everyone else)
- Sort alphabetically or by status (absent first)
- “Only absent” as a toggle — shows only rows with at least one entry in the window
On the web the hover tooltip of every cell shows the full member name, the date, the reason, and (for partial-day events) the exact time window. Classical year calendars don’t have this.
Holidays — automatic and configurable
Agenda knows all 9 nationwide German holidays out of the box: New Year’s Day, Good Friday, Easter Monday, Labour Day, Ascension Day, Whit Monday, German Unity Day, Christmas Day and Boxing Day.
Regional customisation
Per branch you can add or remove regional holidays:
- Epiphany (BW, BY, ST)
- Corpus Christi (BW, BY, HE, NW, RP, SL)
- Assumption of Mary (BY, SL)
- Reformation Day (East, plus the Nordic states since 2018)
- All Saints’ Day (BW, BY, NW, RP, SL)
- Day of Repentance and Prayer (SN)
- International Women’s Day (BE, MV)
- World Children’s Day (TH)
When a branch manager enters a new bridge day or a special closure, it’s effective in all apps immediately — no app update needed.
How Agenda includes holidays in calculations
- Vacation days — holidays are automatically skipped when calculating vacation days (5 working days minus 1 holiday = 4 vacation days).
- Target/actual balance — on a holiday, actual equals target: employees don’t need to enter anything, the balance is neutral.
- Working on a holiday — automatically lands in the holiday-surcharge bucket.
- Year and group calendars mark holidays with their own symbol.
Planning a year
The year overview is more than a backward look — it’s the tool with which employees plan their vacation:
- Year picker top left (±3 years)
- Visually identify weeks that are already full (own requests + holidays)
- Find a free block
- Open the absence request — the path is exactly one tap away
For team leads the group calendar works in reverse: “Only one person at a time in August.” A glance at August shows where that’s already at risk.
What you save
- No wall calendars with colored stickers.
- No Excel “who’s planning bridge days?”.
- No argument “but I didn’t have to work on Good Friday” — the day is pre-marked.
- No double-bookings (two members on vacation at once) from oversight.
