Document search — overview
Document search is the central place to find every document in your company: invoices, delivery notes, contracts, photos, tables, scanned PDFs. It replaces clicking through different projects and folders with a single search.
What is it for?
- Full-text search over file names, project names, customers, dates and tags.
- Quick preview without downloading.
- Batch download of several documents as a ZIP archive.
- Filters by file type, project, customer, date or employee.
Who uses it?
- Office staff find delivery notes, receipts and contracts when a customer calls.
- Accounting pulls receipts for the tax advisor.
- Management reviews historical documents during audits or customer enquiries.
- Field staff can review past paperwork on the move before an appointment.
How to search effectively
- Start broad, e.g. with the customer name — the result list shows every document for that customer.
- Refine with file-type filters (“PDFs only”, “images only”) and a date range.
- Sort by recency, size or name.
- Tick several results and use Download as ZIP to grab them in one go.
Who sees what?
Document search only shows documents the signed-in employee has read access to. Permissions inherited from the project or area (e.g. accounting, warehouse) apply automatically. Employees never see documents they shouldn’t.
Who needs which permission?
| Task | Permission |
|---|---|
| Search your own documents / projects | Low |
| Batch download | Medium |
| See documents from other projects | High — cross-project access |
| Permanently delete a document | High |
Connection to other areas
- Projects — every document is linked to a project or order; the result list links back to it.
- PDF Center — found PDFs can be signed, merged or watermarked in the PDF Center.
- Quick Invoice — the saved signatures used in the PDF Center are the same.
