Warehouse — overview

The warehouse module covers everything related to your physical or digital stock: create articles, structure your warehouse, book goods receipts, run inventory counts, and trace every movement.

Who is it for?

  • Warehouse staff book incoming goods, print labels, check stock.
  • Team leads organise inventory counts and review variances.
  • Accounting sees the stock value and exports for the balance sheet.
  • Management keeps an overview of stock, orders, and total value.

Key terms

  • Article — a single product with name, article number, price, photo, and location.
  • Category — a folder for articles (e.g. “Cleaning supplies”, “Tools”).
  • Warehouse — a physical location. A company can have several (e.g. “Main”, “Secondary”).
  • Aisle / column / row — the structure inside a warehouse. Think of supermarket aisles with numbered shelves.
  • Free space — a location without a fixed shelf structure (pallets, floor area).
  • Goods receipt — booking goods that arrive into the warehouse.
  • On hand — the current quantity of an article.
  • Reserved — quantity promised to an order but not yet shipped.
  • Available — on hand minus reserved. The quantity you can still sell.
  • Stock movement — every change of stock (in, out, correction) with a timestamp.

How a typical order flows

  1. An order is created. If articles are attached, stock is reserved.
  2. If you need to replenish, a purchase order goes to the supplier.
  3. Goods arrive → goods receipt is booked → stock goes up.
  4. When the order ships → goods issue is booked → stock and reservation go down.
  5. Every step appears as a stock movement.
