Create a category

Before you can create articles, you need at least one category. Categories help structure your stock and matter later when printing labels and searching.

  1. Open Warehouse in the main menu.
  2. Click Add category at the top left.
  3. Give it a clear name (e.g. “Cleaning supplies”, “Tools”, “Electronics”).
  4. Save.

You can rename categories later or remove them via soft-delete (older documents keep their references).

Create an article

  1. Pick a category from the list on the left.
  2. Click Add new article.
  3. Fill in the form. Required fields are highlighted.

Important fields

  • Name — the display name. What employees and customers see.
  • Article number — your internal SKU. Unique per company.
  • Supplier article number — the supplier’s / manufacturer’s number.
  • Description — details for employees searching for the item.
  • Photo — recommended; speeds up visual identification in the warehouse.
  • Purchase price — gross purchase price. Feeds into the stock value.
  • Unit sale price — default price used in quotes and invoices.
  • Unit type — pieces, carton, metres, or cartons + pieces (mixed).
  • Location — warehouse / aisle / column / row. Without a location, things vanish.

Make stock visible

The list shows, per article:

  • on hand — the currently available quantity.
  • reserved — already promised to open orders.
  • → available — the difference; what you can still sell.

A red number means: not enough stock left to cover the reservations — watch out for shipping.

QR-code labels make it possible to find articles in seconds:

  1. Pick a category.
  2. Click Print all labels or, inside an article, the label icon.
  3. Choose how many labels per row (1, 2, or 3).
  4. Print the PDF on label sheets or a thermal printer.

Bulk import via Excel

When you need to onboard many articles at once (e.g. when switching to Agenda):

  1. Prepare an Excel file with one article per row.
  2. Columns in this order: name, article number, supplier number, category, description, colour, warehouse, aisle, column, row (two fields), unit type, pieces, carton, pieces-per-carton, price.
  3. Click Upload in the warehouse and choose the file — or drag-and-drop onto the button.
  4. Rows with errors are skipped and reported in a summary — fix and re-import them.

Edit or delete an article

  • Double-click the display name → quick rename (display name only).
  • Three-dot menu on the right → Edit opens the full form.
  • Three-dot menu → Change article number opens the separate workflow with an impact preview (see Renaming articles).
  • Three-dot menu → Stock movements opens the movement history for this article.
  • Three-dot menu → Delete soft-deletes the article (still visible in older documents).
