Notes — overview

Notes is the lightweight place for anything you want to jot down quickly — without turning it into a full document, appointment or formal file. Notes behave like sticky notes but are searchable, share-friendly and synced across devices.

What are notes for?

  • Personal reminders — “Talk to customer X about pricing tomorrow.”
  • Shared notes — short pointers for a team or group (“Keys are at reception”).
  • Idea collection — proposals, sketches, lists that don’t have a home yet.
  • Checklists — small to-do lists with check marks.

Key terms

  • Note — an entry with title, text, optional images or checkbox list.
  • Board — a folder of notes (e.g. “Personal”, “Team Köln”, “Improvements”).
  • Shared board — a board you share with other employees.
  • Tag — a keyword you can search across boards.

Quickly add a note

  1. Open Notes in the menu.
  2. Click New note (or the + icon).
  3. Enter title and text. Optional: image, checklist, tag, reminder.
  4. Pick a board to file it under.
  5. Save — notes sync automatically.

Personal or shared?

  • Personal — only you see it. Default.
  • Shared — you share a board with other employees or a group. Anyone with access can read; depending on the setting, also edit.

Shared notes are not a replacement for chat — they’re durable reminders; chat is for the conversation.

Who uses notes?

  • Every employee — for personal reminders.
  • Teams — hints that don’t need to be repeated in chat daily.
  • Field staff — e.g. notes per customer site (“Gate only opens with code 1234”).
